SystemizeIt: SOPs, Scheduling & Project Management

Written SOPs and a scheduling/project system so your business doesn't fall apart when you step away.

Who This Course Is For

Owners whose business only runs smoothly when they are personally on-site every day.

Ask most trade business owners how the business actually runs day to day, and the honest answer is: it runs because they personally hold every piece of it together. Scheduling lives in their head or their texts. Quality control means they check the job themselves. The one employee who knows how to handle a tricky install learned it by watching the owner, not from any written process. That works fine at one truck. It becomes the single biggest obstacle to growth the moment you try to run two.

SystemizeIt is built for the point where "I'll just handle it myself" stops being a strength and starts being the bottleneck. This course isn't about turning your trade business into a corporate operation with binders nobody reads. It's about writing down the handful of processes that actually matter, building a scheduling and dispatch system that doesn't depend on you being reachable every hour, and setting up quality control that catches problems without you personally inspecting every job.

The Outcome

What you'll walk away with

Written SOPs and a scheduling/project system so your business doesn't fall apart when you step away. That means real, written standard operating procedures for the handful of processes that cause the most rework and confusion today, a scheduling and dispatch approach your crew can follow without calling you first, a basic project management rhythm for weeks with multiple jobs running at once, a clear-eyed read on which tools and software are actually worth paying for at your current size, and a quality control process that protects your reputation without requiring you to personally sign off on every task.

The Curriculum

Six modules. Real systems, not theory.

01

Why "it's all in my head" is the #1 growth killer

Most trade businesses run on the owner's memory instead of a written system. This module names the pattern directly: if the only place your pricing logic, your callback process, or your job checklist lives is inside your own head, the business cannot grow past what one person can personally supervise. You'll map out exactly which parts of your operation currently exist only as tribal knowledge — and why that's the ceiling on everything else you're trying to build.

02

Writing your first SOPs (start here, not everywhere)

Writing SOPs sounds like a corporate exercise, and most owners either skip it entirely or try to document everything at once and quit. This module gives you a starting order: which three or four processes to write down first (the ones that cause the most rework or the most "only I know how to do this" bottlenecks), a simple format that a busy field crew will actually read, and how to turn a process you do automatically into words someone else can follow.

03

Scheduling & dispatch systems that don't rely on your memory

Scheduling by memory, sticky notes, or a phone call to whoever's closest works until it doesn't — usually right when you're trying to run more than one crew. This module covers building a scheduling and dispatch system that survives you being unreachable for an afternoon: how jobs get assigned, how changes get communicated, and how you keep multiple crews or trucks from double-booking the same day.

04

Project management basics for multi-job weeks

A single job is manageable in your head. Five jobs running at once, at different stages, with different material needs and different crews, is not. This module introduces plain-language project management basics — tracking job stages, flagging what's blocking a job from moving forward, and keeping a multi-job week from turning into a daily fire drill.

05

Tools & software: what you actually need (and what you don't)

There is no shortage of software pitched at contractors, and buying the wrong tool (or five overlapping tools) can create more chaos than it solves. This module walks through what a growing trade business actually needs at each stage — from a shared calendar and a simple job tracker up through dedicated field service software — and, just as important, what you can skip until you're bigger.

06

Quality control without micromanaging

Systems fail when the owner either checks nothing or checks everything personally. This module covers building quality control into the job itself — checklists, photo documentation, a defined final walkthrough — so jobs come out consistent whether or not you were standing on-site, without you needing to inspect every single task your crew performs.

Is This Course Right For You

Let's be specific about who this helps

This course is for you if:

  • Owners whose business only runs smoothly when they are personally on-site every day
  • Owners who have grown past a one-truck operation but are still coordinating everything by memory and phone calls
  • Owners who want written processes a new hire could actually follow, not just a plan in their head

This isn't the right fit if:

  • Owners looking for enterprise-grade software recommendations — this is process first, tools second
  • Businesses with zero jobs on the books yet — SOPs matter most once there's real work to standardize
  • Anyone hoping for a one-size-fits-all template with no adaptation to their own trade or crew size

Format & Delivery

How this course works

SystemizeIt is delivered online and built to work through at your own pace — around jobs, not instead of them. You'll get practical worksheets and templates for each module rather than lecture-only video, so you're building your actual SOPs and scheduling process as you go, not just watching someone else describe theirs.

If you'd rather have direct coaching and accountability while you build these systems instead of working through the material solo, this course is also part of the full curriculum inside the Accelerator. Contact us for current details on pricing and format for either path.
